FLOOR RENTAL & PRIVATE BOOKING POLICY

This policy is governed by and shall be interpreted in accordance with the Flortyme Foundational Operating Principles.
PURPOSE
Flortyme may offer floor rental opportunities, private bookings, hosted activities, practice space reservations, and other facility use arrangements to support dance, movement, instruction, rehearsals, social activities, events, and community participation.
This policy establishes the framework for requesting, scheduling, approving, and managing floor rental opportunities and private bookings.
RENTAL OPPORTUNITIES
Floor rentals and private bookings may be offered for:
• Individual practice
• Partner practice
• Small group activities
• Rehearsals
• Instruction
• Workshops
• Meetings
• Social activities
• Private events
• Community initiatives
Availability may vary by venue, location, schedule, facility requirements, and operational considerations.
BOOKING REQUESTS
Rental requests must be submitted through approved reservation methods and may be subject to:
• Availability
• Membership eligibility
• Venue requirements
• Operational considerations
• Applicable fees
Submission of a request does not guarantee approval or availability.
COMMUNITY COMMITMENT PRINCIPLE
The Flortyme Community Commitment Principle shall govern all floor rental and booking activities.
Once Shared Floor Time, a reservation opportunity, event, activity, registration offering, or participation opportunity has been designated, published, scheduled, confirmed, or otherwise made available to participants, it becomes a protected community commitment.
Established commitments shall not be cancelled, displaced, reduced, restricted, rescheduled, refunded, or otherwise altered to accommodate subsequent rental requests, regardless of membership level, status, booking priority, financial consideration, influence, or administrative convenience.
PRIVATE BOOKINGS
Private bookings may provide exclusive access to approved floor space during designated periods.
Private bookings are subject to:
• Availability
• Venue approval where required
• Operational requirements
• Applicable pricing
• Published policies
Private bookings do not create rights to future access, scheduling priority beyond approved membership benefits, or interference with existing commitments.
SHARED FLOOR TIME
Shared Floor Time exists to encourage participation, maximize community access, and support the Flortyme community.
Available floor time that remains unreserved seven (7) days before the scheduled date may be designated as Shared Floor Time.
Once designated and published, Shared Floor Time becomes a protected community commitment.
Shared Floor Time shall not be cancelled, displaced, reduced, restricted, refunded, or otherwise altered to accommodate subsequent rental requests.
LATE BOOKING REQUESTS
Subject to availability, Flortyme may consider late booking requests for floor space that remains genuinely uncommitted at the time of the request.
Late booking approvals may be subject to:
• Premium pricing
• Administrative fees
• Special conditions
• Operational requirements
Late booking requests shall not interfere with existing Shared Floor Time commitments or established community participation opportunities.
PRICING
Rental fees, booking fees, administrative fees, membership discounts, premium rates, and other pricing structures may be established by Flortyme from time to time.
Pricing may vary based upon:
• Venue
• Location
• Time of day
• Duration
• Membership classification
• Event type
• Facility requirements
• Operational considerations
CANCELLATIONS
Cancellation requirements and refund eligibility shall be governed by the Refund & Cancellation Policy and any applicable booking conditions.
Participants are encouraged to provide notice as early as possible when cancelling reservations.
Repeated no-shows, late cancellations, or misuse of booking privileges may result in restrictions on future rental opportunities.
VENUE REQUIREMENTS
Participants must comply with all applicable:
• Venue policies
• Facility requirements
• Occupancy limits
• Safety procedures
• Licensing requirements
• Organizational policies
Additional venue-specific conditions may apply.
DAMAGE & LIABILITY
Participants remain responsible for:
• Their conduct
• Their guests
• Their activities
• Damage resulting from negligence or misuse
Participants may be financially responsible for repair, replacement, cleanup, or other costs resulting from damage caused during a rental or booking.
ORGANIZATIONAL RIGHTS
Flortyme reserves the right to:
• Approve or deny booking requests
• Establish pricing structures
• Modify availability
• Restrict rental opportunities
• Adjust scheduling procedures
• Establish participation requirements
• Protect existing commitments
Such actions shall be undertaken in a manner consistent with the Foundational Operating Principles.
INTERPRETATION
Where uncertainty exists regarding the interpretation of this policy, the Flortyme Foundational Operating Principles shall govern.
A commitment made is a commitment honored.
