REFUND & CANCELLATION POLICY

This policy is governed by and shall be interpreted in accordance with the Flortyme Foundational Operating Principles.

PURPOSE

Flortyme is committed to providing clear and consistent guidelines regarding cancellations, refunds, credits, registrations, reservations, memberships, events, programs, and services.

This policy establishes the general framework for cancellations and refunds across Flortyme activities and services.

GENERAL PRINCIPLES

Registrations, reservations, memberships, rentals, events, workshops, programs, and services may involve costs, scheduling commitments, venue obligations, administrative expenses, and operational requirements.

Refund eligibility may vary depending on the nature of the activity, timing of the cancellation, venue requirements, third-party obligations, and event-specific conditions.

Where event-specific refund provisions have been published, those provisions shall take precedence over this general policy.

PARTICIPANT CANCELLATIONS

Participants who are unable to attend or utilize a reservation, registration, event, workshop, rental, program, or service are encouraged to provide notice as soon as reasonably possible.

Providing early notice may allow opportunities to be offered to other participants and supports effective event and facility management.

Unless otherwise stated:

• Refund requests should be submitted at least forty-eight (48) hours prior to the scheduled activity.

• Refund eligibility may be reduced or denied where significant costs have already been incurred.

• Administrative processing fees may be deducted where applicable.

NO-SHOWS

No refunds, credits, or transfers are generally provided for participants who fail to attend a scheduled activity, reservation, event, workshop, rental, program, or service without prior notice.

Exceptions may be considered at the sole discretion of Flortyme in extraordinary circumstances.

EVENT CANCELLATIONS BY FLORTYME

If Flortyme cancels an event, activity, workshop, program, reservation opportunity, or service, affected participants may receive:

• A full refund; or

• A credit toward a future activity; or

• An alternative participation opportunity where appropriate.

The method of resolution shall be determined by Flortyme based on the circumstances involved.

VENUE, WEATHER & CIRCUMSTANCE-BASED CHANGES

Flortyme reserves the right to modify, postpone, reschedule, relocate, adjust, or cancel activities where necessary due to:

• Venue requirements

• Facility limitations

• Weather conditions

• Safety concerns

• Instructor availability

• Operational requirements

• Legal obligations

• Circumstances beyond reasonable control

Reasonable efforts will be made to communicate significant changes as soon as practicable.

MEMBERSHIPS

Membership fees support organizational operations, community programming, member services, administrative activities, and participation opportunities.

Unless otherwise stated:

• Membership fees are non-refundable once membership benefits have been activated or utilized.

• Memberships are non-transferable.

• Membership benefits have no cash value.

SPECIAL EVENTS & TICKETED ACTIVITIES

Certain events may be subject to specific registration terms, ticketing conditions, venue requirements, or refund provisions.

Where published event-specific conditions exist, those conditions shall govern participation and refund eligibility.

RESERVATIONS & FLOOR PRACTICE SPACE

Reservation cancellations should be submitted as soon as possible to support fair access and community participation.

Repeated no-shows, late cancellations, abuse of reservation privileges, or conduct that negatively impacts facility utilization may result in restrictions on future reservation privileges.

COMMUNITY COMMITMENT PRINCIPLE

Once a Shared Floor Time session, activity, event, program, registration opportunity, reservation offering, or participation opportunity has been designated, published, scheduled, confirmed, or otherwise made available to participants, it becomes a protected community commitment.

Refunds, cancellations, rescheduling, or modifications shall not be used to displace, diminish, or interfere with commitments already made to participants except where necessary due to safety, legal obligations, venue requirements, or circumstances beyond reasonable control.

PROCESSING OF REFUNDS

Approved refunds may be processed through the original payment method, account credit, event credit, membership credit, or another method determined by Flortyme.

Processing times may vary depending on payment providers, financial institutions, and administrative requirements.

ORGANIZATIONAL RIGHTS

Flortyme reserves the right to establish, modify, suspend, or replace refund procedures, cancellation requirements, administrative fees, participation requirements, and eligibility criteria as necessary to support organizational objectives.

Any such changes shall be implemented in a manner consistent with the Flortyme Foundational Operating Principles.

INTERPRETATION

Where uncertainty exists regarding the interpretation of this policy, the Flortyme Foundational Operating Principles shall govern.

A commitment made is a commitment honored.
