MEDIA, MARKETING & COMMUNICATIONS POLICY

This policy is governed by and shall be interpreted in accordance with the Flortyme Foundational Operating Principles.
PURPOSE
Flortyme utilizes photographs, video recordings, livestreams, written communications, digital content, websites, social media, newsletters, promotional materials, and other forms of communication to support community engagement, organizational operations, event promotion, educational activities, and public awareness.
This policy establishes guidelines regarding organizational communications and media usage.
COMMUNICATION OBJECTIVES
Flortyme communications seek to:
• Inform participants
• Promote events and activities
• Support community engagement
• Share educational content
• Encourage participation
• Recognize contributions
• Promote organizational initiatives
• Support transparency and community awareness
Communications should reflect professionalism, accuracy, respect, and organizational values.
PHOTOGRAPHY & VIDEOGRAPHY
Photographs, video recordings, livestreams, recordings, and other media may be captured during programs, events, workshops, activities, social gatherings, practice sessions, and community participation opportunities.
Media may be captured by:
• Flortyme
• Authorized representatives
• Event hosts
• Approved photographers
• Approved videographers
• Media partners
MEDIA APPEARANCE
Participants acknowledge that attendance at public events, social activities, workshops, programs, and community gatherings may result in appearance within photographs, videos, livestreams, recordings, or other media.
Appearance may occur through:
• Group photographs
• Crowd scenes
• Social interactions
• Event activities
• Background or incidental inclusion
Reasonable efforts may be made to address specific concerns; however, Flortyme cannot guarantee that attendees will not appear in media captured during public activities.
USE OF MEDIA
Media captured during activities may be used for:
• Websites
• Social media
• Newsletters
• Reports
• Presentations
• Educational materials
• Promotional materials
• Community engagement
• Historical and archival purposes
• Organizational communications
Such use may occur without further notice or compensation unless otherwise required by law.
SOCIAL MEDIA
Flortyme may maintain social media accounts and online communities to support engagement, communication, promotion, and community participation.
Participants engaging through social media are expected to:
• Communicate respectfully
• Avoid harassment or abuse
• Respect intellectual property
• Follow Community Standards
• Contribute positively to community discussions
Flortyme reserves the right to moderate, restrict, remove, or report content that is inconsistent with organizational policies or community expectations.
CONTENT OWNERSHIP
Unless otherwise agreed:
• Flortyme retains ownership of its organizational content, branding, publications, graphics, materials, and communications.
• Individuals retain ownership of their independently created content.
Nothing in this policy transfers intellectual property ownership unless expressly agreed in writing.
ORGANIZATIONAL REPRESENTATION
Only authorized individuals may make official statements, announcements, policy declarations, media releases, or public representations on behalf of Flortyme.
Participants may not represent personal opinions as official organizational positions without authorization.
EVENT PROMOTION
Flortyme may promote activities, events, workshops, instructors, organizers, venues, sponsors, community partners, and collaborative initiatives where such promotion supports organizational objectives.
Promotion does not necessarily constitute endorsement of all activities, opinions, products, services, or business practices of another individual or organization.
ACCURACY OF INFORMATION
Flortyme seeks to provide accurate information; however, schedules, activities, venues, pricing, instructors, entertainment, programs, and event details may change from time to time.
Participants should refer to current published information and official communications for updates.
PRIVACY
Collection, use, storage, and disclosure of personal information shall be governed by the Flortyme Privacy Policy.
Media captured during public events and activities shall be managed in a manner consistent with applicable privacy laws and organizational policies.
ORGANIZATIONAL RIGHTS
Flortyme reserves the right to:
• Publish communications
• Promote activities
• Capture media
• Utilize organizational content
• Moderate online communities
• Remove inappropriate content
• Protect organizational reputation and community interests
Such actions shall be undertaken in a manner consistent with the Foundational Operating Principles.
INTERPRETATION
Where uncertainty exists regarding the interpretation of this policy, the Foundational Operating Principles shall govern.
